1. What Is Meta Business Suite?

Meta Business Suite is an all-in-one platform for managing your business across Facebook and Instagram. It lets you handle content, messages, insights, and certain account settings from a single dashboard. Available on both desktop and mobile devices, it's designed for everyday tasks such as publishing posts, replying to messages, and monitoring overall performance.

2. What's the Difference Between Business Portfolio, Ads Manager, and Ad Account?

Business Portfolio is the organizational structure that owns and manages your business assets while controlling access permissions across your organization. These assets include Facebook Pages, Instagram accounts, ad accounts, catalogs, and more.

Business Portfolio is the current name for what was previously known as Business Manager. Although Meta has officially renamed Business Manager to Business Portfolio, many guides and users still use both names interchangeably.

Ads Manager is Meta's dedicated advertising platform, built specifically for creating, managing, and analyzing advertising campaigns. Unlike Business Suite, it focuses entirely on advertising and does not include content publishing or messaging features.

Ad Account is the account used to create and run advertisements.

Think of Business Suite and Ads Manager as the tools you use every day, while Business Portfolio is the foundation that owns your business assets and manages access.

3. Do You Need a Business Portfolio?

Not necessarily. If you're running a small business with a single Facebook Page and manage everything yourself as a sole administrator, you can start using Meta Business Suite without creating a Business Portfolio.

However, if you plan to add team members, assign different permission levels, connect multiple business assets, or run advertising professionally, it's best to create a Business Portfolio from the beginning. Establishing clear ownership and access permissions early makes your business much easier to manage as it grows.

4. Step-by-Step Setup: Connect Your Facebook Page and Instagram Account

Start by creating a Business Portfolio. Enter your business name, administrator name, and business email address, then verify your email to complete the setup.

Next, connect your Facebook Page to the Business Portfolio. If you don't already have a Page, you'll need to create one first, since Meta Ads require a Facebook Page or, depending on your campaign objective and placements, an Instagram account to serve as your business identity.

If you plan to manage both Facebook and Instagram through Meta Business Suite, it's recommended to use a professional Instagram account and connect it with your Facebook Page and Business Portfolio where appropriate. Setting everything up correctly from the beginning makes it much easier to manage content, messages, permissions, and advertising from a centralized workspace.

5. Create, Add, or Request Access to an Ad Account

A single Business Portfolio can manage multiple Ad Accounts, depending on the permissions granted and the account limits set by Meta.

Creating a new Ad Account isn't always necessary. In many cases, you can add an existing Ad Account that your business already owns or request Partner Access to an Ad Account owned by another business.

Partners are Business Portfolios owned by another business, such as an agency or service provider. The Business Portfolio owner decides which business assets to share and what level of access or actions the partner is allowed to perform.

Access permissions can be assigned as either Full Control or Partial Access, depending on the type of user, the business asset, and the level of access supported by Meta. Full Control grants the highest level of permission within the assigned scope, allowing users to manage settings, permissions, and other users within that scope. Partial Access limits users to only the specific tasks or assets that have been assigned to them.

As a best practice, avoid giving Full Control to everyone unless it's absolutely necessary. Administrators should receive only the permissions required for their responsibilities. Businesses should assign Full Control to more than one person only when their organizational structure requires backup administrators.
